Q:  When I deleted a record in AssetManager, some of the associated records are still showing up in some of my reports.  How do I remove them?

A:  A utility program to remove those records is available on the SoftWright web site.

 

AssetManager builds a hierarchical database of information, for example when you enter an AssetGroup record, then a Facility record associated with that AssetGroup, then a Maintenance record for that Facility.  Higher records in the hierarchy are called “parent records”, lower records are “child records.”  In this example, the AssetGroup is the parent of the Facility, the Facility is the child of the AssetGroup and the parent of the Maintenance record. And the Maintenance record is the child of the Facility record.

When you delete a parent record, all of the associated child records should also be deleted by the program, since without the top level of the hierarchy, the records lower in the order would not be related to the rest of the database.

In some cases, a child record may not be deleted with the parent.  If the child record meets some criterion of a report (such as a scheduled date in the Maintenance record), it may be included in that report.

These records can be removed with the AssetManagerUtil.exe program.  Before running the program you should make a backup of your AssetManager and/or Terrain Analysis Package data files, as described in the “Backing Up TAP Database Files” article.

If the AssetManagerUtil.exe program file is not already in the folder where AssetManager is installed you can download it from the SoftWright web site.

When you run the program, you will be prompted to make a backup:

Click the Yes button to make a backup.  The AssetManager database files will be compressed into a ZIP file in the SYSTEM\BackupAssetManager folder.  The file name will consist of the date and time of the backup.

The backup may take several seconds depending on the size of your AssetManager database.  A message is displayed when the backup is completed, including the name of the file:

Click the OK button to close the form.

You will be prompted to start the process of removing the records:

Click Yes to start the utility function.

The process may take several seconds, depending on the size of your AssetManager database.  When the process is complete, a message will be displayed:
